Office Manager – Manchester

Are you a proactive, organised professional with a flair for multitasking across finance, marketing and office operations? As our Manchester Office Manager, you’ll be the backbone of our office environment, ensuring seamless day-to-day operations while also supporting our finance procedures, contributing to marketing initiatives, and assisting senior management. This role offers you the chance to work in a dynamic environment where your skills in managing multiple business functions will be highly valued.

We envision this role starting as a part-time position, approximately three days per week. However, we’d love to hear about your availability and how we might shape the role to fit your schedule.

Office Manager: What You’ll Be Doing

Office Management & Operations

  • Take ownership of day-to-day office operations, managing suppliers, client administration and facilities.
  • Organise and co-ordinate company events, meetings, and team gatherings.
  • Implement office policies and procedures, improving efficiency and supporting team productivity.
  • Oversee IT and facilities support, liaising with external providers when needed.

Finance Support

  • Manage accounts payable and receivable, process invoices and handle employee expense claims.
  • Track and managed aged debtors.
  • Assist in financial reporting to senior management and external accountants.
  • Support payroll processing and employee reimbursements, ensuring accuracy and timeliness.
  • Collaborate with the management team to optimise financial practices and policies.

Marketing Support

  • Coordinate and support marketing campaigns, keeping timelines on track and objectives aligned.
  • Assist with social media management, producing and scheduling posts, and monitoring engagement.
  • Assist with web-marketing management and reporting.
  • Track and report on marketing expenses and campaign performance, offering insights for improvement.
  • Assist with website management by editing and posting news stories, case studies etc.

Personal Assistant (PA) Responsibilities

  • Provide high-level support to senior management, managing schedules, travel and meeting arrangements.
  • Prepare presentations, reports and correspondence on behalf of executives.
  • Manage calls, emails and inquiries, handling communication with professionalism.
  • Assist in coordinating special projects from initiation through to completion.

Office Manager: Requirements

  • Experience: Ideally 2+ years in office management, finance or a related administrative role.
  • Education: Bachelor’s degree in Business Administration, Finance, Marketing or a related field (preferred but not essential).
  • Skills:
    • Strong proficiency in Microsoft Office Suite, particularly Excel for finance management.
    • Excellent organisational, multitasking and communication abilities.
    • Knowledge of finance basics and budgeting.
    • Familiarity with social media and digital marketing tools.
    • Capacity to handle confidential information with discretion.
